About Us: The Michigan History Foundation was established in 1989 by a group of visionary business, industry, civic and political leaders to raise private funds from donors interested in ensuring Michigan’s rich history and culture are maintained to inspire generations today and in the future. Today, the mission of the foundation continues. We exist to present opportunities to provide the financial support needed to collect, preserve and interpret Michigan’s history. It allows us to provide our citizens and visitors with a view of those who have shaped our state, its people and culture.

Summary of Primary Duties: Under the direction of the Development Director, the Administrative Assistant’s primary responsibilities are 1) to provide a positive and professional response to the public in all settings (office, phone, email, meetings, etc.) and 2) provide necessary administrative and clerical support to the Development Director and Board of Directors.

Position Type/Expected Hours of Work: The administrative assistant position is currently a part-time position. The number of hours worked per week will vary depending on the need for assistance with projects, events, and initiatives in addition to the regular job responsibilities. Typically, the individual in the position can expect to work 8-12 hours per week over a minimum of two days, Monday through Friday between the hours of 8 a.m. to 5 p.m. Occasional requests to work weekends and/or to work 15-20 hours a week can be expected. The individual will be expected to complete their work in-person at the Foundation offices located at the Michigan History Center in Lansing, MI.

Essential Functions:

  • Handle voicemail, email, and postal mail responding or forwarding. Draft written correspondence or conduct replies by phone or email when necessary.
  • Process gifts, grants, and related incoming monies in the donor management system while maintaining data integrity.
  • Support accounting and Foundation finances. Includes processing accounts payable, accounts receivables, travel/expense reimbursement, and other financial record keeping.
  • Assist Development Director with direct mail appeals, applications, event planning, and membership program.
  • Schedule and organize meetings, travel, events, and activities for staff and Board of Directors. Prepare general correspondence, memos, Board agendas and packets.
  • Other administrative duties as needed.

Required Education and Experience:

  • High school diploma or equivalent
  • One-year administrative experience
  • Working knowledge of basic operating machines and mailing processes.
  • Proficient in Microsoft Office Suite, One Drive, Google Docs and Forms, internet savvy

Preferred Education and Experience:

  • Bachelor’s degree or equivalent
  • Two or more years of related experience

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, networked printers, phones, photocopiers/scanners, filing cabinets and fax machines.

Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift office products and supplies, up to 20 pounds, open filing cabinets and bend or stand as necessary.
