Job Title: Director of Finance and Administration

FLSA Status: Exempt, Full-Time

Reports to: Executive Director

Remote Work Eligibility: Partial

Pay: $80-$90K


Position Summary:

The Director of Finance and Administration oversees the financial health and processes of the organization, including budgeting, forecasting, reporting, and compliance. The Director of Finance and Administration also oversees Facilities and Security Departments, as well as IT contractors. This role works closely with the Executive Director and management teams to support informed financial decision-making and maintain regulatory adherence.

Key Duties and Responsibilities:

  • Proactively monitor and manage the FIA’s overall financial health and position through regular financial reporting and analysis.
  • Prepare and analyze financial statements, such as income statements, balance sheets, budget to actual, and cash flow reports. Preparation of the financials includes reconciliations and journal entries.
  • Produce financial reports for internal and external stakeholders, including analysis by program, function, and event.
  • Oversee all financial operations, including budgeting, forecasting, cash flow management, investment management, fundraisers, and short- and long-term financial planning.
  • Monitor performance of endowment and investment accounts in partnership with the Finance Committee.
  • Ensure compliance with accounting standards (i.e., GAAP) and regulatory requirements.
  • Assist with budgets, compliance, and financial reporting for grants, capital projects, endowment campaigns, and building reserve funds.
  • Review and approve payroll and benefits administration and applicable monthly/quarterly/annual fillings.
  • Conduct month-end and year-end closing activities.
  • Oversee accounts payable and receivable activities.
  • Implement and maintain internal controls related to financial processes to mitigate risk and prevent fraud.
  • Coordinate with auditors and regulatory agencies on financial audits.
  • Use financial software to streamline processes and maintain accuracy.
  • Support cross-departmental collaboration to align the financial function with broader organizational objectives.
  • Collaborate with department heads to promote cross-functional financial literacy and accountability.
  • Conduct yearly vendor reviews for strategic pricing opportunities.
  • Stay up to date on laws, regulations, and best practices to ensure ongoing compliance.
  • Serve as staff liaison to the Board of Trustees’ Audit; Finance; and Facilities, IT & Security committees.
  • Prepare financial reports and presentations for Board meetings.
  • Provide strong oversight to Facilities and Security Departments, as well as the IT contractors.
  • Perform other duties as assigned.

Qualifications/Skills Required:

  • Proficiency in accounting (Financial Edge through Blackbaud) and payroll (ADP) software.
  • Excellent analytical, organizational, communication, and problem-solving skills.
  • Strong leadership and team management abilities.
  • High level of integrity and ability to maintain confidentiality.
  • Detail-oriented with the ability to manage multiple priorities effectively.

Education and/or Experience:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • At least 5 years of experience in financial management roles.
  • Strong knowledge of GAAP, audit processes, fund accounting, and compliance requirements.
  • Experience with non-profits preferred, but not required.
