Job Summary

The Events & Beverage Manager is responsible for the planning, management, and execution of all FIA-hosted events, fundraisers, facility rentals, and bar services, ensuring each is delivered to the highest standard while maintaining full compliance with FIA policies, operational procedures, and customer service expectations.

Key Responsibilities

Team & Vendor Management

  • Supervise and provide leadership to the Assistant Events & Beverage Coordinator
  • Train Visitor Experience team members and bartenders on event procedures, customer service standards, and alcohol handling procedures
  • Assign roles and responsibilities to staff, ensuring efficiency and accountability during events
  • Build and maintain strong relationships with local vendors, community organizations, and businesses to enhance event capabilities
  • Coordinate event logistics and oversee vendor operations to ensure compliance with museum policies

Special Event Execution

  • Act as the primary contact for all confirmed FIA events and facility rentals
  • Create detailed work orders and coordinate with internal departments to ensure successful event execution
  • Serve as the on-site lead and supervise event setup and breakdown, ensuring the safety of artwork, galleries, and public spaces
  • Oversee bar service operations, including inventory management, supply ordering, and occasional bartending or serving as needed
  • Resolve issues in real-time as necessary
  • Maintain availability for all special events and fundraisers, including evenings and weekends

Fundraising & Committee Support

  • Recruit, train, and manage event committee members and volunteers from planning through execution
  • Collaborate with committees and staff to develop event goals, budget, concepts, and timelines
  • Handle sponsorship outreach, donor communication, and recognition efforts to maximize community support and fundraising potential
  • Develop and manage checklists for fundraising events, covering all aspects from preparation to event-night responsibilities

Documentation & Analysis

  • Prepare, issue, and manage rental agreements, insurance documentation, permits, and payment processing in accordance with museum policies
  • Maintain organized records of all event contracts, communications, and financials
  • Track and report on income and expenses; analyze attendee feedback and marketing effectiveness to assess event performance and inform future planning and operational improvements
  • Work closely with the marketing team to develop and implement a promotional strategy for special events across print, digital, and social media platforms

Policy & Board Engagement

  • Ensure special events reflect the museum’s mission and values
  • Have thorough knowledge of Special Event Policies and contribute to policy revisions in collaboration with the Director of Visitor Experience and Board Committee
  • Ensure all Michigan liquor laws and FIA alcohol policies are current and enforced
  • Other duties as assigned by the Director of Visitor Experience

Educational and Job Experience Requirements

  • Bachelor’s degree in hospitality, communications, business, marketing, or related field preferred; equivalent experience (minimum 5 years) accepted
  • Demonstrated success in event planning, customer service, hospitality management, or marketing roles
  • Strong leadership, organizational, and multitasking abilities
  • Creative thinker with attention to detail and excellent communication skills
  • Ability to learn new software, proficient in Microsoft Office Suite, Google Workspace, and Adobe software
  • TIPS certification required (or willingness to obtain)
  • Strong sense of professionalism, adaptability, and team collaboration
  • Consistent availability to work evenings and weekends

Physical Requirements

  • Must be able to lift up to 40lbs.
  • Must be able to endure shifts of up to twelve hours on your feet. This position requires standing, walking, lifting, grasping, reaching, pushing, pulling, bending, and kneeling.
