Position Summary

The Museum Operations & Visitor Experience Coordinator is responsible for managing day-today operations, visitor services, and volunteer coordination across multiple Harbor Springs Area Historical Society properties.

This role works closely with the Executive Director to ensure smooth daily operations, consistent staffing, and high-quality visitor experiences.

This is a hands-on, on-site position in a small, collaborative organization and is best suited for a highly organized professional who enjoys managing logistics, staff, and day-to-day operations.

This position requires a full-time, year-round presence in Harbor Springs, Michigan. Candidates relocating to the area should have a clear and realistic plan for housing and transition prior to applying. Relocation assistance is not available.

This role is best suited for individuals prepared to live and work in a small Northern Michigan community year-round. It offers the opportunity to play a key part in a growing organization and contribute to the day-to-day success of multiple museum sites.

Reports to: Executive Director

Coordinates and supports part-time visitor services staff and volunteers

Core Responsibilities

1. Daily Operations

  • Oversee day-to-day operations of all museum properties
  • Coordinate staffing schedules and seasonal coverage
  • Maintain clear procedures and front-of-house standards
  • Ensure all sites are open, staffed, and visitor-ready
  • Track attendance and basic operational metrics

2. Visitor Services & Earned Revenue

  • Coordinate and support visitor services staff
  • Manage retail operations (inventory, sales tracking, restocking)
  • Coordinate facility rentals and basic logistics
  • Monitor visitor experience and identify areas for improvement

3. Volunteer Coordination

  • Recruit, train, and schedule volunteers
  • Maintain consistent volunteer engagement and communication
  • Support onboarding and training efforts

4. Programs & Events Support

  • Support implementation of the annual program calendar
  • Coordinate logistics for programs, lectures, and events
  • Provide operational support across multiple museum properties
  • Assist with exhibit set-up and site readiness

5. Organizational Support

  • Assist with event execution and operational projects
  • Support basic marketing coordination (social posts, website updates)
  • Help maintain organization and follow-through across initiatives

Qualifications

  • Bachelor’s degree or equivalent experience required
  • 2-4 years of relevant professional experience in nonprofit, education, or museum settings
  • Experience coordinating staff and/or volunteers preferred
  • Strong organizational and communication skills
  • Ability to work independently and manage multiple priorities in a small team environment
